1. Introduction
1.1 This Privacy Statement applies to all visitors, Customers, and Users of the Rotion platform.
1.2 CAUSA SUI BV, with registered office at Krugerstraat 232, 2660 Antwerpen, Belgium, registered under company number BE0774.580.929, is the responsible entity and acts as data controller for the processing of personal data as described in this Privacy Statement.
2. Information We Collect
2.1 Account information
Information such as name, email address, job title, and company details provided when creating or managing an account.
2.2 Usage information
Information about how Users interact with the Platform, including access logs, feature usage, and device or browser type.
2.3 Payment information
Billing and payment related information provided by Customers. Payment transactions are processed by third party payment service providers. CAUSA SUI BV does not store full credit card details.
2.4 Communications
Information provided when Users contact support, sales, or other representatives, including the content of messages and related metadata.
2.5 Website assistant
Questions asked in the chat assistant on rotion.eu and its answers are stored with our analytics provider (PostHog, EU) to improve the assistant and our website. Email addresses and phone numbers are removed before storage. Our team receives each finished conversation in its internal Discord workspace and keeps a copy in a private GitHub repository to review the answers. Discord Inc. and GitHub Inc. are based in the United States and process this data with the safeguards the General Data Protection Regulation requires. Conversations are deleted from all three after 90 days. Answers we use to improve the assistant are rewritten first, so they contain no personal data or company names. If you ask for a copy of a chat, we use your email address to send it to you, and our team receives the same copy. We only contact you about that conversation, and only if you ask us to. We don’t add you to a mailing list.
2.6 Website analytics and visitor identification
When you visit rotion.eu, we collect information about your visit, such as pages viewed, referring website, device and browser type, approximate location and IP address. We use PostHog (EU) and Google Analytics 4 (Google Ireland Limited) to measure and improve the website, and the Apollo.io and Dealfront (formerly Leadfeeder) website trackers to identify the company a visitor’s network belongs to, so our sales team can follow up with relevant organizations. 3. How We Use Personal Data
3.1 To provide, operate, maintain, and improve the Rotion platform.
3.2 To manage subscriptions, process payments, and issue invoices.
3.3 To provide customer support and respond to requests or inquiries.
3.4 To send service related communications, product updates, and marketing messages, subject to applicable law and opt out rights.
3.5 To ensure security, prevent abuse, and comply with legal and regulatory obligations.
4. Sharing of Personal Data
4.1 CAUSA SUI BV does not sell personal data.
4.2 Personal data may be shared with trusted service providers such as hosting providers, payment processors, analytics providers (PostHog, Google Analytics), sales tooling (Apollo.io, Dealfront), and support tooling, solely for the purposes described in this Privacy Statement and under appropriate contractual safeguards.

5.1 Personal data is retained only for as long as necessary to provide the services, meet contractual and legal obligations, or resolve disputes.

6.1 CAUSA SUI BV applies appropriate technical and organizational measures to protect personal data against unauthorized access, alteration, loss, or misuse.
6.2 Absolute security cannot be guaranteed. Users remain responsible for maintaining the confidentiality of their login credentials.
